Managing Applications

Once your campaign is live, you'll start receiving applications from ambassadors. You have full control over who receives a gift.

Reviewing Applications

Go to Campaigns > [Your Campaign Name] and select the Applications tab.

The Application Queue

Each entry represents an ambassador who has selected their gift and submitted your form. In this view, you can see:

  • Ambassador Profile: Social handles, past performance, and current tier.
  • Form Responses: Any custom data they provided (e.g., shoe size).
  • Gift Selection: The specific product and variants they requested.

Decision Actions

For each application, you can:

  1. Approve: Clicking Approve will immediately signal Sonar Seed to create a Draft Order in your Shopify admin. Note: Approval is the trigger for fulfillment.
  2. Reject: If the ambassador doesn't fit your current needs, you can reject the application. This will notify them and free up their gift allocation.

Auto-Approval

If you want a more "frictionless" experience (e.g., for a trusted VIP list), you can enable Auto-Approval in the Campaign settings.

  • When enabled, as soon as an ambassador submits their application, the Shopify order is created automatically without you needing to click Approve.

After Approval

Once approved, the application moves into the Fulfillment stage. The ambassador will receive a "Welcome" or "Gift Confirmed" email (based on your template settings).
